A lot of the work at HEAV is done by volunteers—busy families just like yours who see a need and get involved. HEAV volunteers are an integral part of making a difference for homeschoolers in our state. Whether you’re interested in helping out right from your own home, at the office, as an intern, or at the convention, we need your help to effectively support homeschoolers and let others know about the wonderful world of homeschooling!

Are you someone who thrives on organization, especially when it comes to all things digital? Do you enjoy tasks like data entry, scheduling, and making processes run smoother?

As the speaker administration assistant, you’ll work closely with the speaker coordinator to manage the details of speaker recruitment, contract preparation, and more. We’re looking for a tech-savvy, team-oriented individual who loves keeping things on track. Oh, and did we mention—being organized is a must!

This is a work-from-home position expected to take about 10-15 hours per week.

The keynote coordinator works alongside the convention director and speaker coordinator to seamlessly document, organize, and communicate keynote contracts and session details.

You’ll be the key link between the convention team and high-profile speakers, ensuring everything runs smoothly. If you’re highly organized, detail-oriented, and love working independently, this might be the role for you!

This is a work-from-home position expected to take about 10 hours per week.

We are also seeking an add-coordinator who will assist the speaker coordinator in facilitating the convention’s Thursday add-an programs before, during, and after the annual convention. If you’re detail-oriented, love keeping things on track, and have great communication skills, this will be an enjoyable role for you!

This is a work-from-home position expected to take about 5-10 hours per week.

We need full-time adult and mature-teen leaders to help all day Thursday, Friday and Saturday, as well as some one-day assistants. Volunteering at the Children’s Program

Looking for a way to use your IT skills to serve the homeschool community in a rewarding and fulfilling environment? Consider the HEAV Used Curriculum Sale! Each year, the Used Curriculum Sale serves thousands of homeschool families by giving them the opportunity to purchase discounted instructional materials from other homeschool families at the annual HEAV convention. Our IT team of volunteers works behind the scenes preparing for the sale in addition to serving on-site during the three-day event in June. To better serve our homeschool families, we’re looking for additional individuals to join the UCS IT team. Whether you’ve got all of the skills listed below or are proficient in one or two, we’d love to hear from you! Please contact our Used Curriculum Sale coordinator, Christie Underhill, at ucs@heav.org for more information. We’ve already begun preparations for this year’s sale, so we hope to hear from you soon!
UCS IT Team Skills
Interested individuals should have an understanding of data bases, web pages and servers, coding, and financial accounting pertaining to web development, process flow and personal information protection. A basic proficiency in the following will be helpful as well:
  • Python
  • Flask or Django
  • Bootstrap
  • MySQL
  • REST API
  • RHEL (Red Hat Enterprise Linux) or CentOS or Red Hat-based Linux OS
The HEAV convention team is looking for an enthusiastic individual or couple (could even be a homeschool graduate!) to serve as graduation coordinator for this year’s Virginia Homeschool Graduation at the Greater Richmond Convention Center on June 8, 2024. You’ll be part of the HEAV convention team and will communicate regularly with staff members, including the office manager, finance manager, exhibit hall, security, operations, volunteers, etc. The position requires approximately 8 to 10 hours per week from December through April, and more leading up to the weeks before the convention. The coordinator must be onsite during the convention, June 6-8, 2024. Helpful Skills You must have internet access and be proficient with Microsoft Word and Excel, comfortable with technology, and willing to learn additional platforms as necessary (Google Drive, Dropbox, and Trello in particular.) Strong customer service skills are also required. Duties Include the Following:
  • Communicate with parents of graduating students throughout the registration
  • answer questions regarding registration, graduation ceremony, student biographies, acquisition of diplomas and regalia, etc.
  • Work closely with the convention director and publications director
  • Work with the data manager to update registration forms for the coming year
  • Keep an up-to-date spreadsheet of graduates’ registration information
  • Communicate with other convention team members, graduation vendors, and the Greater Richmond Convention Center staff in a timely manner
  • Check regularly and respond in a timely manner to internal and external emails
  • Attend quarterly convention team meetings
  • Direct graduation volunteers on-site at the convention
  • Create parent/graduate seating charts, parent/graduate name tags, diploma labels, parent/graduate seat labels, check-in envelope labels
  • Be onsite at the convention from Thursday through Saturday to man the Graduation booth and direct the ceremony on Saturday.
  • Depending on flow, this may include the Sunday after for the after-action review meeting, etc.
  • Other duties as needed

Available Positions

Experienced mom of high schoolers? Please consider serving as a mentor in HEAV’s mentoring program! You’ll be part of a supportive community that will equip and encourage parents to launch the next generation. Time commitment is just 30 minutes to 2 1/2 hours per week.

Homeschooling is growing, and the HEAV office is very busy!

Our goal is to provide a live voice on the phone during normal office hours. When parents call the office with questions or concerns, we don’t want them to go to voicemail. With limited staffing and a lot of data entry and clerical work, we need help to accomplish this goal.

Our Outreach Partner program makes it almost effortless! We’ll send you ready-to-go announcements and information that you can forward along to your church or group, or post in your community. Outreach Partner Volunteer

Remember the questions YOU had as a brand-new homeschooler?  How about sharing some of what you learned by volunteering as a phone counselor?

  • Training is provided

Initial three-hours training will be conducted by Yvonne Bunn at the HEAV office in Richmond in January.

  • Flexible Hours

Beginning in January, volunteers should be able to volunteer to answer questions by phone.

  • Work from Home

The phone calls will be transferred through our phone system directly to your home or cell phone number. Callers will not see your number, and your phone number does not need to be published. You should have access to a computer, as much information is located on our website which can be easily accessed when taking calls.

Calling all young adults! Here is an exciting new opportunity to earn valuable training and gain additional skills and references for your resume–all while supporting homeschool families! Take a look at our different internship levels and descriptions, which range from receptionist to project manager. The training that you receive could count as credit toward transcripts at the high school level or work credit/life experience at the college level. Volunteer Convention Coordinators Needed in the Following Areas:

  • Registration Coordinator
    Duties include monitoring online registration, answering questions from attendees, and sharing weekly information with the convention team. The coordinator will also prepare badges, tickets, and packets for the attendees; oversee the registration area onsite; and prepare a detailed report after the convention.
  • Graduation Coordinator
    Duties include monitoring online registration, answering questions from families, organizing the ceremony, and facilitating the ceremony onsite.
  • Facilities Coordinator
    Duties include collecting the room setup requests from speakers and coordinating with the convention center to ensure that all areas are set up correctly.
  • Keynote Coordinator
    Duties include executing the plans for each of the keynotes and ensuring that the program is followed in a timely manner.
  • Workshop Host Coordinator
    Duties include recruiting volunteers, preparing packets for the volunteers, manning the hostess table onsite, and ensuring that each workshop has the needed volunteers.
  • Prayer Station Coordinator
    Duties include recruiting volunteers for the prayer stations, preparing a schedule for the volunteers, and manning the prayer station during convention. The coordinator will also act as a prayer warrior for the convention team.
  • Signage Coordinator
    Duties include making and updating signage for the convention, placing signage before and during the convention, and maintaining the convention signs.
  • College Fair Coordinator
    Duties include recruiting colleges, registering colleges, and organizing the college fair.
