You are no longer able to add new items to your account or edit those previously created. You are able to print labels, your Master Sheet Summary, and master sheets.
Following convention, the site will reopen for you to view your sales results once they have been posted. Watch your email for notification of the official reopening date.
Once the site is closed, you will no longer be able to enter any additional items or edit previously entered items. You will, however, be able to print labels and all other necessary documents after that time.
- You do NOT have to create a new account if you meet both of the following two conditions:
1. You know your password from last year, AND
2. You plan to use the same email address you used last year.
- To begin entering your sale items on the barcoding site, follow these steps:
1. Log into the site with last year’s email address and password.
2. Confirm your contact information.
3. Agree to the Terms of Service.
If you do not know your password from last year or have changed your email address, you will need to create a new account.
Labels – New labels must be created for each convention. Labels from previous years will not be recognized on our scanning system at checkout, making the item unsellable.
“Pickup” or “Donate” – Please pay attention to the “Pickup” or “Donate” choice for each item when entering them onto the barcoding system.. The labels for items designated for pickup will print with a check mark in the box located in the top right-hand corner of the label. The box will be empty on the labels of items you decide to donate. If your printer does not print the check mark correctly, the item may be wrongly designated for donation.
IMPORTANT: PICKUP ITEMS ONLY – Please use a yellow highlighter to highlight the first line of all labels marked for Pickup. Highlight the initial, name, and checkmark in the Pickup box in the top right-hand corner of each label marked for Pickup.
SALES PROCEEDS – On your My Accounts page you’ll be given the opportunity to select whether you would like to receive your sales proceeds by check or PayPal. You’ll also have the option to donate your sales proceeds to HEAV for their continuing effort to protect homeschool freedom in Virginia. Everything you need to know about these options can be found on the My Accounts page.
Minimum Price – Please note that there is a minimum price policy of $1 on Friday and $0.75 on Saturday.
Drop-Off Sheet Summary – All sellers must bring a hard copy of their one-page Drop-Off Sheet Summary when they drop off their items, or their items cannot be accepted.

Early Shopping on Friday
On Friday, June 5, early entry to the UCS will be available for volunteers first followed by those who are preregistered for the convention. The earlier you pre-register, the earlier you may shop. When you shop, you will turn in the colored pass you received at registration. You may shop for as long as you wish, within the stated UCS hours. If you leave the sale, however, you will not be able to re-enter until 3 p.m. when shopping is open to all convention attendees.
Shopping Notes
Your time in the sale is not limited. You do not have to enter at the exact time your pass specifies; you may enter anytime AFTER THE TIME PRINTED ON IT.
Children, strollers, carts, wagons, and purses will be allowed in the UCS. You may bring in EMPTY boxes or bags for carrying books. Please do not bring in previously purchased items—a package check will be available.
The use of suitcases in the UCS is strongly discouraged. Should you choose to use a suitcase, you will need to be prepared to show that all compartments are empty upon entering and exiting the sale.
Shopping is open to ALL attendees beginning at 3 p.m. on Friday.
HEAV cannot guarantee what will be available, nor the condition, edition, or usability of materials. Check the materials BEFORE you buy. All sales are final. No refunds will be given.
We accept cash, personal checks (made out to HEAV), or credit cards (VISA and MasterCard). NOTE: If you claim tax-exempt status, please be prepared to provide and surrender proof of your exemption at checkout.
Early Shopping Notes (Friday, June 5)
If you are preregistered for the convention, you will receive a confirmation stating your entrance time to the UCS. Upon arrival at the convention, visit the preregistration table to pick up your convention name tag(s) and UCS pass(es). The entry time is printed on the pass. You MUST bring your pass to shop before the sale opens to the general public at 3 p.m. If you are a volunteer, you must bring your “Golden Ticket” to shop at 9 a.m. If you are a volunteer and don’t have a pass, please visit the Volunteer Table next to Registration in the main lobby.

Remember, anyone volunteering at least two hours at the convention is eligible to shop early in the UCS. If you volunteer in any area, you will receive a “Golden Ticket” that entitles you to be the first to shop at the UCS at 9 a.m. on Friday, June 5.

The items in the UCS include books on almost every subject, for every grade. The quantity and quality of materials in the UCS depend entirely on the materials brought in by our sellers. For a complete list of our sales categories, see “Sales Categories” under “Selling.”
No. Admittance to the UCS is only by colored pass (given to all preregistered convention attendees) until the open shopping hours. Admittance time on the pass is based on registration date—the earlier you register, the earlier you will be able to shop. Exception: Volunteers may take advantage of early shopping on Friday at 9 a.m.

Volunteers-Only Early Entry: The UCS will be available for volunteers who have served, or are scheduled to serve, for a minimum of two hours at the convention. Volunteers must present a Golden Ticket to be admitted into the sale.

Preregistered Shopping Hours: If you preregister but are not a two-hour volunteer, you will receive a colored pass stating the time at which you may begin shopping. The earlier you preregister, the earlier your entrance time will be.

You may buy as many items as you want.

Yes! However, all children must be accompanied by a responsible adult.
Unsold items must be resorted and prepared for gleaning. This takes time and a lot of volunteers! If you’d like to help and be part of the first group of gleaners, please fill out our volunteer application.
Selling
Step One: Create an Account
Create your account using the online barcoding system. Online instructions will guide you through the process.
Please note: The online barcoding system will remain open until Wednesday, June 3, at 5 p.m., unless we reach our maximum capacity of items before the scheduled closing time. If it appears the site will reach its capacity and close before Wednesday, June 3, we will communicate with you by way of email to give you time to complete the process of entering your items onto the site. Once the site officially closes, you will however, no longer be able to add new items or edit those previously created. You will be able to print labels and all other necessary documents.
Step Two: Printing Instructions
- Print your master sheet(s) first and double-check all entries against the master(s) before printing your labels.
- Paper/Ink/Printer requirements:
- We highly recommend using white paper for all labels.
- Help us accurately sort items by using a yellow highlighter to highlight the first line of the label for all items marked to be picked up after the sale. Please highlight the initial, name, and pickup box checkmark located in the top right-hand corner of each label marked for pickup.
- *Please note: Adhesive labels often mar book covers, making them less appealing to shoppers.
- Ink – Ink should be all black. (Set printer to print in black and white or in grayscale.)
- Printer – Laser is preferred; if inkjet is used, set quality to “Best/High.”
- Print your labels only when you are sure you have all your data entered correctly.
- If you need to modify or remove an item from the list, be sure to discard any previously printed labels for that item. You will also need to update the information on the barcoding site so that your master sheet(s) reflects an accurate record of the items you are bringing to the sale. You must print a new label for any modified item. Failure to do so could cause the item not to scan properly at checkout resulting in a lost sale.
- Each label will print in duplicate. For books, place one label on the outside cover and a duplicate on the inside front cover. For all other items, use both labels – one on the front of the item and another in a conspicuous place. The second label serves as an extra precaution to ensure we will be able to scan your items should one label become compromised in any way.
- Cut labels and tape securely to your items, placing tape on all four sides of the label. HEAV is not responsible for lost items. Improperly labeled materials cannot be accepted for the sale.
- Special Instructions for Items to Be Sold as a Set: We recommend that items to be sold in a set be placed in plastic bags so shoppers can clearly see the contents and the condition of the items. Whether you use a plastic bag or box, tape a detailed list of all contents on the outside of the bag or box so shoppers will know exactly what the set contains. To ensure that items in a set do not become separate from the set and are not lost, please take these additional precautions:
- Make multiple copies of the labels and place one on each of the items in the set.
- Tape up the bag or box securely so the contents cannot be removed.
- Attach a label to the outside of the bag or box.
Step Three: Packing Instructions
Pack your items together by presorting them according to grade/subject or by category so that we can quickly get them on to the correct tables. Items that are not presorted will not be distributed to the sales tables as quickly as those that have been.
- Pack your materials in disposable containers such as cardboard boxes. We cannot be responsible for returning containers to their owners.
Step Four: Delivery Instructions
- Drop off your items for sale along with your Drop-Off Sheet Summary at the UCS hall loading dock (Hall C) on Thursday from 3 p.m. – 7 p.m. or Friday from 8:30 a.m. -10 a.m. Volunteers will be ready to scan your Drop-Off Sheet Summary, help you remove your items from your vehicle, and transport them into the UCS hall, making the drop-off process easy and convenient!
We strongly encourage sellers to use the loading dock for a quick and convenient drop-off. For those who choose not to use the loading dock, we will accept items inside the UCS hall on Thursday, 3 p.m. – 7 p.m. only. Click here for a downloadable map of the UCS hall and loading dock. - Parking is not required or allowed in the loading dock area. Volunteers will direct the flow of traffic to and from the UCS loading dock.
- Young children must remain in the car and are not allowed on the loading dock for their own safety.
- UCS volunteers will assist you in removing your items from your vehicle and transporting them into the UCS hall.
- Drop-off at the loading dock is a two-step process:
- Step 1 – Scan Drop-Off Sheet Summary (Leave UCS items in the car.) Your Drop-Off Sheet Summary will be scanned by a UCS volunteer at your vehicle. Items cannot be removed from your vehicle until the Drop-Off Sheet Summary has been scanned.
- Step 2 – UCS volunteers will assist you in removing your items from your vehicle and then transport them into the UCS hall for you.
- Drop off your items for sale along with your Drop-Off Sheet Summary at the UCS hall loading dock (Hall C) on Thursday from 3 p.m. – 7 p.m. or Friday from 8:30 a.m. -10 a.m. Volunteers will be ready to scan your Drop-Off Sheet Summary, help you remove your items from your vehicle, and transport them into the UCS hall, making the drop-off process easy and convenient!
The only paperwork you need to bring when you drop off your sale items is a one-page Drop-off Sheet Summary. Instructions for printing this document are available on the barcoding site. Drop off your items for sale along with your Drop-off Sheet Summary at the UCS Hall (Hall C) loading dock.

- If you plan to pick up your unsold materials, you must do so at one of the stated times. Materials are not available for pick-up after 6:30 p.m. on Saturday. Any unclaimed materials become the property of HEAV and will be distributed immediately after the convention. We do not have storage space for items that are left. If you have an emergency, please contact the UCS Coordinator in the UCS hall.
- Please allow 2-3 weeks for your check to arrive or for your PayPal account to be credited.
- As a seller, you will receive 75% of your total sales (HEAV receives 25%). If you elect to receive your payment by check, HEAV will deduct $1 from your sales profit to cover the cost of processing and mailing your check.
- To avoid the possibility of your check being rejected by your financial institution, please cash or deposit your check no later than 90 days from its issue date.
- If you request a check to be reissued before 60 days, you will be required to pay a $35 stop payment fee.

How to Be a Successful Seller at the HEAV Used Curriculum Sale
Here are some tips from our seasoned volunteers who know what they’re talking about!
Selecting
Choose which of your items to sell in the UCS.
- Place items in the sale that you would buy, based on condition and age.
- Older curricula editions do not sell well, but literary classics are an exception to this rule.
Categorizing
Choose the appropriate sales category for each item.
- Be logical. Ask yourself, “If I needed this item, where would I look for it at the sale?”
- Be specific. If the publisher has designated a grade level, choose that category. Use categories like “Elementary” and “Middle School” for items that do not have a designated grade level.
Pricing
Choose an appropriate price for each item.
- Price to sell. Shoppers expect to find bargains at the UCS, and most will spend considerable time looking for what they need at the best price.
- Be logical. Choose the lowest price you can receive for the item and be satisfied.
- Reduce the prices of your items for Saturday. If you’re going to donate unsold items, consider drastically reducing their prices for Saturday.
Labeling
Prevent unsellable or unreturnable merchandise.
- Secure your label. Tape all four sides of every label. Attach a second label to all items. For books, place it on the inside front cover. If one label comes off your item, you’ll have another as a backup.
- Do not use adhesive labels. Adhesive labels often damage books, and many buyers avoid buying them for this reason.
- If an item lacks a label, we will assume it was intended for donation.
Packaging Sets
Prevent items from getting lost.
- Secure sets. Clear plastic bags or clear plastic wrap are excellent choices for securing sets and allow prospective buyers to see specific items.
- Check parts. Make sure that all parts of the set are included, i.e., all cd’s, all game or puzzle pieces.
- Tape a detailed list of all contents on the outside of the set, so shoppers know exactly what it contains.
- Be honest. Give an accurate and fair assessment of your set(s). If, after purchase, a set is found to have missing parts or is in a condition that differs significantly from that described by the seller, we will assist the buyer in negotiating a fair resolution with the seller.
Selling FAQ
No, you are welcome to come and shop even if you are not interested in selling anything.
In order to sell items in the UCS, you must use our convenient barcoding system. This system includes comprehensive directions on how to categorize, label, and document the items you want to sell.
In order to make your selling experience both easy and profitable, we need to be able to sort and distribute your items to the proper sales tables in the shortest amount of time. Our online barcoding system helps make the labeling process as simple as possible by providing the specific information we need to facilitate sorting and distribution.
Several tables will be located near the entrance of the UCS hall that will be designated for free items. We will not accept any item that is unrelated to homeschool curriculum. Once your items have been approved, it will be your responsibility to place them on the tables designated for free items. It is important that you keep free items separate from items you want to sell when proceeding through the drop-off process to ensure an orderly and efficient handling of your sale items.
The drop-off hours are listed below. When you drop off your items, please have your Drop-off Sheet Summary with you.
Thursday 3 p.m.-7 p.m.
Friday 8:30 a.m.-10 a.m. (loading dock only)

There are two time periods available for picking up items. You may pick up all your unsold items either Friday or Saturday evening. On Friday, between 4 p.m. and 6 p.m., you may retrieve your unsold items from the sales floor, but you must find them yourself. If you can wait until we have had an opportunity to sort through the remaining materials left after the sale closes on Saturday, you will be able to pick up your unsold items on Saturday between 5:30 p.m. and 6:30 p.m. No materials will be available for pick up after 6:30 p.m. on Saturday. We do not have storage space for items that are left. If you have an emergency, please contact the UCS Coordinator in the UCS hall.
No, our database does not allow for multiple pick-ups.
Only if you want your items back. Before the convention, as you prepare your items for sale, you will designate each item for either “Pick-up” or “Donate” on your item labels.
On Saturday, from 4:30 p.m. to 6:30 p.m., after the close of the sale, the hall will open for all to browse or “glean” through these donated items for those last-minute books they were not able to find or afford. Many families have found donated items they couldn’t afford and have been greatly blessed! Individual gleaners are encouraged to glean not only for themselves but also to take items to bless others. After 6:30 p.m., all remaining items are removed by various organizations across Virginia. The loading dock will be available for the convenience of those organizations and individuals who choose to glean multiple boxes of items. You will need to be prepared to load your own items.

If you elect to receive your sales proceeds by check, please note the following:

To avoid the possibility of your check being rejected by your financial institution, you will need to deposit or cash your check within 90 days of its issue date.
If you request a check reissue within 60 days, you will be required to pay a stop payment fee.
Volunteers play a crucial role in the success of the UCS. It is especially crucial that UCS sellers assist in the variety of tasks required to set up and operate this two-day event. We strongly encourage all sellers to help with the sorting and distribution of sale items on Thursday afternoon in preparation for the Friday morning opening.
