Convention Coordinators

Are you looking for a way to use your creative or organizational skills to serve the homeschool community in a rewarding and fulfilling environment? Consider the HEAV convention team!

Held annually in June at the Greater Richmond Convention Center, HEAV’s Annual Homeschool Convention is THE event of the year for many families.

We have three volunteer positions available right NOW, and we’d love to have you join our team!

Speaker Administrative Assistant

The speaker administration assistant is a tech-savvy, team-oriented individual who will work closely with the speaker coordinator to manage the details of speaker recruitment, contract preparation, and more.

Works closely with:

  • Speaker Coordinator
  • Add-On Coordinator
  • Keynote Coordinator

Core competencies needed:

  • Ability to work from home
  • Data entry experience
  • High degree of organizational skills, especially digital organization
  • Excellent communication skills within a team environment
  • Punctual

Responsibilities include:

  • Document speaker applications
  • Enter speaker contract details into appropriate spreadsheets
  • Upkeep of speaker information in spreadsheets throughout the convention year
  • Assist with schedule organization
  • Create a speaker shuttle schedule for onsite at convention
  • Assist with collating speaker feedback to be sent out after the convention
  • Assist with collecting information for other convention areas, such as exhibit hall, hotel, facilities, and registration
  • Other duties as assigned by the speaker coordinator or convention director

Hours

  • 10-15 hours/week
  • This is a volunteer position
  • 1-2 weekly meetings with the speaker coordinator, as needed
  • Occasional team meetings, as needed

Keynote Coordinator

The keynote coordinator will document, organize, and share keynote contract and session details with the appropriate contacts within the convention team and outside participants.

Works closely with:

  • Convention Director
  • Speaker Coordinator
  • Executive Director
  • Convention Coordinators
  • HEAV Staff

Core competencies needed:

  • High degree of organizational skills, especially digital organization
  • Work well in a team environment
  • Excellent phone and people skills
  • Flexible and self-directed
  • Onsite point of contact for keynote sessions

Responsibilities include:

  • Document contracted keynote details
  • Organize keynote contract details to be share with appropriate team members
  • Organize keynote session details
  • Create keynote session timelines and share with all participants and appropriate team members
  • Attend keynote sessions as time-keeper, session organizer, and onsite point of contact
  • Meet weekly, or as needed, with the speaker coordinator
  • Other duties as assigned by the speaker coordinator or convention director

Hours

  • average of 10 hours per week
  • This is a volunteer position
  • hours will vary depending on the time of year

Add-On Coordinator

The speaker add-on coordinator will assist the speaker coordinator in facilitating the convention’s Thursday add-on programs before, during, and after the annual convention. If you’re detail-oriented, love keeping things on track, and have great communication skills, this will be an enjoyable role for you!

Works closely with:

  • Speaker Coordinator
  • Speaker Team Administrative Assistant

Core competencies needed:

  • Data entry experience
  • High degree of organizational skills; especially digital organization
  • Excellent communication skills within a team environment
  • Punctual
  • Flexible
  • Excellent people skills

Responsibilities include:

  • Document details for each add-on program
  • Work with speaker coordinator to collect and disseminate information for add-on programs to the appropriate members of the convention team
  • Assist in planning logistical support for add-on programs onsite at the convention
  • Onsite point of contact for all add-on programs
  • Other duties as assigned by the speaker coordinator or convention director

Hours

  • 5-10 hours per week
  • This is a volunteer position
  • hours will vary depending on the time of year
  • weekly meetings, as needed, with the speaker coordinator for team planning
