Convention Director
HEAV is seeking a convention director to plan, organize, manage, and direct the process and teams to execute the annual HEAV convention.

Role Overview
- The convention director is responsible for collaborating with the executive director in the strategic development and execution of the HEAV annual convention. This position will contribute to the creation of a meaningful and life-changing event that meets the needs of homeschooling families, fosters strong community relations, builds brand awareness, increases revenue and donor loyalty, and acquires new supporters for HEAV.
- The convention director must demonstrate internal team leadership while employing an entrepreneurial, collaborative, and results-oriented approach to lead and drive the production of a high-quality convention that advances the vision and mission of the Home Educators Association of Virginia.
- Onsite, the convention director is responsible for overseeing all the details of the convention with backup from the executive director as needed. Problem-solving, checking in regularly with coordinators, intervening where needed, {{{Praying}}}, and keeping the ED informed.
Duties & Responsibilities
- Completes the Ministry Institute training within the first two weeks and utilizes processes
- Collaborates in the development of themes and programming
- Provides direction and accountability to convention coordinators in the planning and execution of their areas
- Proposes new ideas to improve the event planning and implementation process
- Develops budgets and oversees financial reporting to the executive director and the board
- Maintains confidentiality
- Negotiates with venues, speakers, and vendors
- Works closely with the director of publications and marketing to give input on content for event correspondence, collateral materials, social media, and web promotions, and overall marketing
- Supports cross-functional internal teams to secure sponsorships and in-kind gifts
- Assists the publications and marketing director with the creation of sponsor packages
- Organizes and leads 2-3 in-person team meetings with coordinators a year
- Prepares quarterly board reports
- Participates in team meetings on Tuesdays at 10 am
- Oversees the post-event wrap-up, including but not limited to debrief meetings, collection of coordinator reports, recognition of key constituents, coordinator after-party, financial reporting, reviewing and approving invoices, and data transfer
- Maintains and develops documentation on procedures and policies
- Performs additional duties and responsibilities as needed

This is considered a full-time position, but hours widely vary depending on the needs and time of year.
